The maths: Even outside London, four filing cabinets can cost a business several hundred pounds a year in office rent alone — before factoring in the cost of the paper, printing and staff time spent managing it. One industry cost analysis found that a single lever-arch file can cost around £16 in raw materials and attract 2.5 hours of staff labour in its first year alone (Storetec, 2025).

None of that accounts for the risk. Paper records are vulnerable to fire, flood, misplacement and unauthorised access in a way that a properly managed off-site archive simply isn’t.

Archive storage vs. scanning: which is right for you?

Many businesses use a mix of both. Physical archive storage tends to suit documents that need to be retained in original form for legal reasons, or large volumes that haven’t yet been digitised. Scanning removes the physical footprint entirely, and industry analysis suggests digital storage becomes meaningfully cheaper than physical storage over time — by year seven, electronic storage can work out roughly 44% cheaper, widening to around 49% by year sixteen (Pearl Scan, 2025).
